PART-TIME Administrative Assistant

This role will support the Program Director and a growing organization that is focused on serving the community and maintaining the highest integrity in representing Cut It Forward. This role is responsible for proactively managing details, organizational practices, building and maintaining spreadsheets, databases, and administrative duties with an eye toward making all of Cut It Forward’s processes and systems effective and efficient. This role will work at times collaboratively, other times independently, and always creatively with partners internally and externally (e.g. Board of Directors, sponsors, donors, partners, and client families) to support the creation and growth of Cut It Forward.

  • Provide direct administrative support to the Program Director to ensure efficient operation of the Cut it Forward office and mission;

    Answer and respond to phone calls and texts, schedule meetings and support visitors;

    Exhibit polite and professional communication via phone, e-mail, mail, and in-person;

    Provides information by answering questions and requests;

    Carry out administrative duties such as filing, typing, copying, binding, scanning etc;

    Support team by performing tasks related to organization and strong communication;

    Assist in generating/scheduling digital content for Social Media, Email Marketing, etc;

    Provide skilled administrative, project, and office technology support;

    Manage databases for grants and fundraising;

    Assist with general e-mail and mail correspondence, and coordinating communications such as annual reports, board reports, presentations, etc;

    Assist with the preparation of presentations and building agendas and meeting materials;

    Support grant writing and programming through budget tracking assistance, team coordination, website updates, administrative support, etc;

    Assist with the planning and execution of educational workshops, events, etc. - including community events, fundraising events, as well as internal events (e.g., Board and Staff events);

    Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies;

    Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques;

    Contributes to team effort by accomplishing related results as needed;

    Additional duties as needed and defined by Program Director.

    Expertise with office technology and communication, as well as support tools including collaboration platforms (e.g. Google Workspace, Squarespace, other web forms, etc.);

    Ability to actively participate and collaborate with others on one's own team for the achievement of the nonprofit’s goals;

    Ability to accurately record and document meeting minutes;

    Possess administrative writing skills;

    Must have a solid understanding and general experience with Microsoft Office software programs, Google Workspace and graphic design programs like Canva;

    Ability to create and maintain exceptional organization, both in office and digitally;

    Ability to manage and track supplies and product inventory effectively;

    Ability to communicate well verbally and through written communication;

    Ability to behave professional under all circumstances.

  • High school diploma or equivalent education required;

    Experience in social work, sociology, psychology, or a related field is a plus;

    3 years of administrative assistant experience;

    Knowledge of appropriate software including: Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat;

    Must successfully pass a background check and have a valid Oklahoma driver’s license and auto insurance. 

  • Location: Office is in NW OKC

    Hours: Part-time, 20 hours per week

    Hourly Rate: Up to $18 per hour, depending on level of experience

    Schedule: Flexible during the office hours of 8:00 am-4:00 pm, Monday-Friday; minimum of 3 days per week, occasional weekends

    Dress Code: Business Casual
